A wedding venue can feel perfect within the first few minutes, but a successful viewing should cover more than appearance. The practical details affect your budget, schedule, guest experience and photography, so take notes and ask the same core questions at every venue. This makes it much easier to compare your options fairly after the excitement of the visit has settled.

Before the venue visit

Confirm that the venue can accommodate your expected guest numbers and that your preferred date or season is available. Ask for the current brochure, price list and package details before the appointment. Prepare a rough budget and a list of your non-negotiable requirements, such as exclusive use, accessible rooms, on-site accommodation or permission for an outdoor ceremony.

Ceremony and reception spaces

• Which spaces are licensed or suitable for the ceremony?

• What are the seated and standing capacities of each room?

• How is the room changed between the ceremony, meal and evening reception?

• What is the backup plan for an outdoor ceremony or drinks reception?

Walk through the venue in the same order that guests will experience it. Notice narrow corridors, stairs, long outdoor routes and places where queues may form. Check whether there is a quiet room for older guests, children, feeding a baby or taking a short break from the music.

Ask for a written breakdown rather than relying on the headline hire price. Confirm VAT, staffing, furniture, table linen, cleaning, security, corkage, cake cutting, sound equipment and room turnaround charges. Ask whether minimum guest numbers or food and drink spends apply, and whether prices can change before your wedding date.

Suppliers, catering and drinks

• Must you use the venue’s preferred suppliers?

• Can you bring your own photographer, florist, band or stylist?

• Is there a licensed bar, and when is last service?

Timings and access

Confirm when you, your suppliers and guests may arrive, and when everyone must leave. Ask how early decorators can access the rooms and when personal items must be collected afterwards. Check music finishing times, sound limits and whether the venue hosts another wedding or event on the same day.

Photography and surroundings

Look at the venue with photographs in mind. Identify bright indoor rooms, covered areas, gardens, architectural features and places suitable for group photographs. Ask whether any areas are restricted, whether drones are allowed and whether the grounds remain accessible after dark. Consider how the location may look in your wedding season rather than only on the day of your visit.

Guest access and practical facilities

• Is there enough parking and can taxis reach the main entrance?

• Are entrances, toilets and key rooms accessible to guests with limited mobility?

• Is there suitable accommodation nearby or transport support?

• Are baby-changing facilities, cloakrooms and secure storage available?

Questions about booking and cancellation

Before paying a deposit, request the full contract and take time to read it. Check the payment schedule, cancellation terms, date-change policy, insurance requirements and what happens if the venue cannot host the wedding. Confirm whether the deposit is refundable and which circumstances may lead to additional charges.
